Compliance note

Where our work requires access to protected health information, it begins only after a signed services agreement and, as applicable, a business associate agreement (BAA). We use the minimum necessary access in client-owned systems. Our group security practices are ISO/IEC 27001-focused; that framework supports, but does not by itself establish, HIPAA compliance, which remains a shared responsibility defined by your agreements and safeguards. Administrative staff do not provide clinical triage or medical advice; clinical questions are routed to your licensed staff. Outbound calls and texts follow consent requirements under applicable law, including the TCPA.

Background and common problems

Patient access is where scheduling, insurance, and patient questions meet, and when it is rushed, every later step pays for it. We support your front office with trained remote administrative staff working to your scripts and policies.

A practice’s front office carries an outsized load. The same people answer phones, check patients in, confirm tomorrow’s schedule, work recall, and chase insurance questions. When volume spikes, callbacks and recall slip first, and those are the activities that keep the schedule full.

Zincat provides remote administrative support for scheduling, confirmations, rescheduling, recall and reactivation, insurance follow-up workflows, missed-call callbacks, and routing patient questions to the right person. This is strictly administrative support: our team does not perform clinical triage or give medical advice. Language coverage and after-hours availability are offered only where genuinely staffed and purchased.

  • Missed calls with no callback
  • Unconfirmed appointments and preventable gaps
  • Recall lists not worked
  • Insurance questions interrupting check-in
  • Clinical questions answered by the wrong person

Ways to engage

All solutions & engagement models

Will your team give patients medical advice?

No. Our team provides administrative support only. Clinical questions are routed to your licensed staff according to the escalation path you define.

Do you offer after-hours or 24/7 coverage?

Only if genuinely staffed and purchased. Coverage hours are written into your agreement; we do not assume around-the-clock service by default.

Can you support Spanish-speaking patients?

Multilingual support is offered only where qualified staff are available and contracted. We will tell you honestly during discovery.

Do you work in our scheduling system?

Yes, with secure named accounts and training on your templates and rules.

How is quality monitored?

Through call reviews, outcome logs, and escalation tracking, with findings shared in regular reviews.

How is this different from a call center?

Patient access combines scheduling with insurance and financial clearance work. General call handling can be added through Business Operations.
